Information for Trade Exhibitors
All trade exhibitors are asked to check all the details on their confirmation are correct e.g. location, power
Changes to the grounds, growth of the show and other unforeseen circumstances may alter layout and may impact on this, we do not guarantee corner sits or through sites. Ultimately the Society reserves the right to move any exhibitor as they deem necessary.
All Trade Space fees must be paid in full no later than 30th November 2016 to fully confirm sites. If full Trade Space fees are not received by the due date the site may be offered for resale.
All admission tickets are to be collected from the Trade Office at Gate 1. No ticket, no admission!
Think ahead and arrange for all staff to have their tickets prior to the Show Day. If not, your staff will be charged at the gate. No exceptions.
- Sub-leases are not issued with a ticket
- Additional tickets may be purchased at $20 for the two days.
The gates will be open to the public from 8.00am to 5.00pm on both days. Exhibitors must have their stands fully operational during the advertised opening hours of the show. Personnel must be in attendance between the hours 8.00am -5.00pm Friday and Saturday.
No exhibitor’s display is to be removed from the showgrounds until after 5.00pm Saturday. Exhibitors leaving their stand early will not be invited back to the Show.
Note: Public safety is of paramount importance so please ensure care is taken while setting up and dismantling your site.
Pack In and Pack Out
The grounds will be marked out the week preceding the show and exhibitors will be able to set up form Thursday 09th March, 2017 until 8pm unless by prior arrangement.
Remember: All displays must be set up by 8.00am on the Friday 10th March, 2017.
Restocking can be done from 5.30-7.30pm on Friday evening and before 8am on Saturday morning.
All trade sites must arrange fro the removal of their rubbish via Bis at Wanaka Wastebusters on 03 443 8606 and pay the appropriate fee. All sites are to be left as they are found.
Electricity: Please ensure you have requested power if needed. It may not be possible to supply it on show day.
Security: During the hours between 6pm – 7am on Thursday – Saturday and Sunday until 9am the grounds will be patrolled by security guards. The Upper Clutha A&P Society will take all care but will not be responsible for any losses or damage incurred at this event.
All vehicles must be out of the grounds by 8.30am.
Food: All food providers and sellers must apply to the Environmental Health Officer, QLDC 03 443 0122 for a Food License.
Liquor/Alcohol: If you are intending on supplying alcoholic beverage from your trade site you need to apply to the Society for a special show liquor license firstname.lastname@example.org. You will not be allowed to offer liquor without permission from the Society. If you are selling alcohol from your site you need to contact the Show Office on 03 443 9559.
